Folder automations
Once your meetings live in folders (by hand or with auto-sort), you can put a folder on a schedule. For example:
- Every Sunday evening, a digest of this week's "Coaching — Michelle" sessions: themes, commitments and what to focus on next.
- Every Friday afternoon, a status update across a whole project folder and its subfolders.
- Every evening, suggested tasks for any new meeting filed into a folder.
Set up a rule
- Open a folder in Meetings.
- Click Automations in the folder header.
- Pick a starting point (Weekly digest, Weekly project status, Coaching
digest or Daily task sweep), then adjust it:
- Schedule: every day, every week on a chosen day, or every month on a chosen date, at a time you pick. A monthly rule set for the 31st runs on the last day of shorter months.
- Which meetings: only meetings filed into the folder since the last run (the default), or every meeting in it. If the folder has subfolders, you can include them too.
- What it does: any mix of:
- Write a folder report: one AI write-up from the meetings' summaries, using a prompt you can edit and the model of your choice.
- Suggest tasks: for meetings that don't have any tasks yet. They land on the Tasks board as suggestions for you to approve.
- Run automations: runs your existing automation rules over these meetings. Each rule's own conditions still apply, and meetings it has already handled are skipped.
- Send each meeting: to Atlas (proposed actions or delivery tickets) or to Fikelela as a new lead (see Send meetings to Fikelela). You need to be signed in. Each meeting is sent once.
- Click Save rule.
"Filed since the last run" means the moment a meeting landed in the folder, not when it was recorded. An older meeting you (or auto-sort) file into the folder today counts as new.
See the results
- Folder reports appear at the top of the folder, newest first. Click one to read, copy or delete it. You'll also get a notification when a new one is ready.
- Each rule has a History that lists every run: when it ran, how many meetings it covered and what it did, including anything that failed. Recent runs also appear under Automations → History.
Run now
Run now runs a rule straight away over its current meetings, without waiting for the schedule. It doesn't use up the next scheduled run. A rule only runs once at a time: if it's already running, Lalela tells you so.
Good to know
- Rules run on your Mac while Lalela is open. If Lalela was closed when a rule was due, it runs once the next time you open the app. It runs once, even if you missed several weeks.
- Each scheduled run happens once. Reopening the app or switching windows won't repeat it. If a run fails (for example, your AI provider was unreachable), Lalela tries again a few times before the next scheduled run.
- Nothing gets skipped. If a task suggestion or send fails for a meeting, later runs try that meeting again, up to three times. After that, the history shows that Lalela gave up on it. Sends that come due while you're signed out wait and go out on the first run after you sign back in.
- Times follow the time zone you set the rule up in, and stay correct when the clocks change.
- Cost: a folder report is one AI call per run, and task suggestions are one call per new meeting. With a local model this is free and stays on your Mac. With your own key or the free allowance, it uses tokens.
- Privacy: folder reports are built from meeting summaries, never full transcripts. Rules and their reports stay on your Mac. They aren't synced to the web app.
- Pause a rule with its On switch, or delete it. Deleting a rule also deletes its reports and history.
