Auto-sort into folders
After a few months, "All meetings" turns into one long list. Auto-sort reads each meeting and files it into the right folder, such as "Coaching — Michelle" or "PPS — Pricing engine", so you can browse your history by topic. It sorts most meetings on its own. Anything it isn't sure about waits for you in To sort.
Set up your folders (once)
- In the sidebar, under Folders, click To sort.
- Click Propose folders. Lalela looks at your existing folders, the words you use most in meeting titles and a sample of what your meetings are about, then suggests a set of folders.
- Review the list. You can untick a folder, rename it, describe what belongs
in it, merge two into one, or add your own. Use "Parent / Child" (for
example
PPS / Claims portal) to create a subfolder. - Click Approve. Only now are any new folders created, and Lalela only ever files meetings into folders you've approved.
You can come back any time with Edit folders.
Sort your existing meetings
Click Sort N unsorted meetings. Lalela works through them in the background, and you can keep using the app while it runs. You'll see progress, a time estimate and, if you use your own AI key, a rough cost. You can Cancel at any time. If you quit Lalela mid-way, click Resume next time and it picks up where it left off.
- A meeting is filed automatically only when Lalela is confident (80% by default; you can change this in Settings → AI → Auto-sort into folders).
- Titles can be wrong. Lalela judges by what was discussed, not just the title. If a meeting was recorded under the wrong name, it follows the content, flags the mismatch and asks you to confirm.
- Your own choices always win. A meeting you've already put in a folder is never moved, and anything you sort by hand stays where you put it.
- Changed your mind? Undo last auto-sort moves everything the last run filed back to unsorted.
The To sort queue
Each meeting in the queue shows Lalela's suggestion, how sure it is, a short reason and a snippet of the transcript. With one click you can:
- Accept the suggestion. If Lalela suggested a brand-new folder, this button reads Create folder & file, and the folder is only created when you click it.
- Pick another folder from the list.
- Skip to leave the meeting unfiled. Skipped meetings aren't suggested again.
Keyboard shortcuts make this quick:
| Key | Action |
|---|---|
| Enter or A | Accept the suggestion |
| 1–9 | File into one of your first nine folders |
| P | Pick another folder |
| S | Skip |
| J / K (or ↓ / ↑) | Next / previous meeting |
| O | Open the meeting |
New meetings
Once your folders are approved, each new meeting is sorted as soon as its summary is ready, using the same rules. Meetings you record straight into a folder stay there. You can turn this off in Settings → AI → Auto-sort into folders.
Privacy and cost
Auto-sort uses the same AI option as your automatic titles and summaries. With a local model or Apple Intelligence, nothing leaves your Mac and it costs nothing. Your own key is billed by your provider; Lalela shows an estimate before you start. Sorting a large library on the free monthly allowance will use it up quickly. If the allowance runs out, sorting pauses safely and you can resume later.
Folders sync to your account like any other folder, so the web app shows the same folders and you can move meetings between them there too. The To sort queue itself lives on your Mac.
Next: put a folder on a schedule
Once meetings are in folders, folder automations can write a weekly digest of a folder, suggest tasks for new meetings in it, or send them on to your other tools.
