Getting started
1. Create your workspace
Sign up with your work email and your company name — Aion creates a private workspace (tenant) scoped to your organisation. Everything you and your teammates add lives inside it, and nothing crosses into anyone else's workspace.
2. Add a project
Projects are how Aion organises meetings, files, actions, and decisions. Create one per client engagement, build, or workstream — Aion thinks per project, the way you already run the work.
3. Add a meeting
From a project, open Meetings and upload a transcript or a document (PDF or Word) from a call — your own notetaker's export, a Teams/Zoom transcript, or written minutes. Aion processes it in the background: you'll see a "processing" badge flip to "completed" as the summary is generated.
4. Read the summary
Open the meeting and you'll see three tabs:
- Summary — decisions split into Confirmed, Provisional, and Open.
- Actions — who owes what, by when.
- Insights — risks and contradictions Aion found against other meetings on the same project.

5. Check the Accountability view
Open Accountability on the project to see every open and overdue action, and the live risk register, aggregated across all meetings — not just the one you just uploaded. This is the running record you'd otherwise be keeping in your head or your inbox.
6. Ask the AI Assistant
Open AI Assistant and ask a question grounded in the project's record — for example:
- "What did the client confirm about scope, and when?"
- "Show me all overdue actions and who owns them."
- "Are there any contradictions between the last two meetings?"
- "Draft a short confirmation email summarising today's decisions."
Tips for a good first week
- Upload as you go. The cross-meeting Insights only get useful once there's more than one meeting on a project to compare against.
- Keep your existing notetaker. Aion doesn't replace Fireflies, Otter, Gemini, or Claude — feed it the transcript or export you already have.
- Use the decision-confirmation artifact with clients. Send it after a meeting and ask them to verify before you proceed — it's a dated record, not just an email that may go unread.
